HR & Admin Manager

The Company
Our client is a comprehensive clean energy asset development and management platform (DEPCO). The company provides professional, customized solutions and services for the entire process of development, design, construction, operation, management, and consulting of distributed photovoltaic power stations.
Responsibilities
You will play a crucial role in supporting the newly established company in Poland. This position will be responsible for helping to formulate the foundation of the company, including rule-making and ensuring the smooth and efficient functioning of the office. Additionally, you will also provide administrative and operational support.
Rule-Making and Compliance
Collaborate with management to define and develop company policies, procedures, and employee handbook.
Ensure compliance with German employment laws and regulations.
Assist with the development and implementation of company-wide policies and standards.
Administrative Support
Manage daily administrative tasks such as answering phone calls, responding to emails, and handling mail correspondence.
Maintain office supplies, equipment, and general office organization.
Coordinate and schedule meetings, appointments, and travel arrangements for employees.
Assist in the onboarding process for new hires, including preparation of necessary documents, orientation, and set up of employee files.
HR Support
Assist in the recruitment process, including job postings, resume screening, and scheduling interviews.
Help in conducting new employee orientations and facilitate their integration into the company.
Assist with employee benefit administration, including enrollment, changes, and terminations.
Maintain accurate employee records and compliance with data protection regulations.
Support employee relations initiatives, including organizing employee engagement activities and corporate events.
Operational Support
Help streamline organizational processes and procedures to maximize efficiency.
Support business operations by coordinating and liaising with external vendors, suppliers, and service providers.
Assist in the preparation of departmental reports and presentations.
Qualifications
Bachelor's degree in Business Administration, Human Resources, or a related field.
Previous experience in office coordination, HR administration, or a similar role is preferred.
Excellent organizational and multitasking skills.
Strong attention to detail.
Proficient in MS Office (Word, Excel, PowerPoint) and HR software systems.
Good understanding of Poland labor laws and regulations.
Strong communication skills, both written and verbal.
Ability to work independently and as part of a team.
Fluency in Polish and English, both written and spoken.
