We want to develop an application which provides real-time monitor for meeting rooms. By this app, you can easily tell which room is empty at the moment. 

The following are basic ideas:

1. Install an occupancy sensor (PIR) in each room.
   

2. The PIR is attached to a WIFI chip (ESP8266).
   

3. The system uses the publish/subscribe MQTT protocol for communications.
   

4. The ESP8266 sends (publish) MQTT messages to a mosquitto server, indicating the presence/vacancy of people in the room.
   

5. A client application receives (subscribe) the MQTT messages from the mosquitto server and displays the status (occupied or not) of the room.

Background

In our work, meeting rooms and equipment provided by the company is one of the most common ways of communication. However, many colleagues will encounter a variety of problems in using of the conference rooms, that resulting in the postponement/replacement of the room, or even cancellation. These issues include:

1. Equipment Missing (no telephone, VC, Cable, etc.)

2. Equipment is difficult to use (especially switching different monitor to display, cannot play sound, etc.)

3. Device is damaged and cannot be used ...

When confronted with these problems, it is often difficult for us to find support team colleagues to help, which undoubtedly brings great inconvenience to colleagues, and reduces work efficiency.

Solution

Use the #RED APP framework to develop a feature that seeks immediate help from the facility maintenance team.

The implementation is:

1. Colleagues use #RED app to submit office/meeting room related support case and provide issue address, such as TKH OT2 18.3.

2. App backstage receives the submission instruction, calls/sends the Mail/create incident ticket to facility maintenance colleague.

3. Upon receipt of this request for urgent assistance, facility maintenance colleague according to the case type to dispatch personnel to the conference room to assist.

4. After the problem is solved, colleagues can give evaluation and grading to improve the quality of the subsequent support.

Functions

Colleagues can open the gates and access using their phones. The procedure would be – open the app, log in with fingerprint and then put the phone at the gate sensors. Once recognized, the door would be open and the phone would displayed and announced the photos and basic information of the visitors. At the same time, entrance messages (visitors, floor levels, time) would be recorded and sent to securities or managers to monitor all the visitors.

What makes it secure?

There are three lines of monitor in this system.

Firstly, visitors would need to sign up the APP with their information and approved by the system.

Secondly, when the visitors open the gate with the APP, they need to put in their fingerprint to ensure they are the NFC owners, which could prevent visitors using other colleagues’ passes. 

Thirdly, all the entrance data would be recorded for real-time monitor or later retreatment. For any sudden abnormalities, any accesses could be denied in real time.

- The system could easily grant, deny and change access for visitors for any specific sites, towers, lifts or floors.

- For colleagues who forgets to bring their entrance card to work, they could simply get in the gate with their phones and their attendance time would be recorded in a more accurate way than iCats.

- For short-term visitors, such as interviewees, colleagues from other sites, overseas colleagues and clients. We could simply grant short-term access to them.

- For other visitors, such as cleaner or delivery man. We could grant access for them for a certain time and duration and their access would be under monitor.

How can we achieve it?

NFC access system has already been a rather mature technology, which has been used in some public transportation and payment systems. Though it is not as widely used as QRcode, it is more secure then QRcode in that it identifies exclusive NFC ID and fingerprint while the QRcode image could be easily captured and passed along.
