商务邮件写作指南
一、称呼
邮件开头的称呼虽小,但细节决定成败。在西方国家,不同性别或婚姻状况的人使用不同的称呼。
例如,“dear”后需加上名字或姓氏,这词在外国人眼中较为正式,类似于“尊敬的”、“敬爱的”。如果是写给不知姓名的人,可选择“Greetings”或“Hi there”。
避免使用过时且过于正式的“Dear Sir/Madam”或“To whom it may concern”。常见表达如下:
- Dear Mr./Ms. Smith(具体某人)
- Dear Prof./Dr. + 姓(头衔,职位)
二、开篇
开篇可通过提及与客户之前的互动来表示友好问候,如感谢见面、拜访公司、电话交流等。
以下为常用表达:

- It was a pleasure meeting you at the conference this month.
- I do appreciate your patience in waiting for a response.
- Thank you for contacting us.
简单寒暄后直接点明写信目的,表达需简洁明了。
三、主旨
这部分需明确表述邮件主要诉求,如请求帮忙、提供报价、回应需求等。
常用表达如下:
- We are writing to inform you that.../to confirm.../to request.../to enquire about...
- I recently read/heard about...and would like to know...
根据不同情境可选用以下短语:
- Making a request:We would appreciate it if you would...
- Offering help:Would you like us to...?
- Giving good news:We are pleased to announce that...
- Giving bad news:I'm afraid it would not be possible to...
- Complaining:I am writing to express my dissatisfaction with...
四、结束语
最后一段通常客气地表达期待,如期待对方回复或反馈意见。
常用表达如下:

- We tender you our sincere thanks for your generous treatment of us in this affair.
- Looking forward to your reply.
五、问候
邮件最后可用诚挚问候结尾,如:
