Club development often goes through ups and downs. Some clubs may enter a “struggling period,” facing challenges of declining attendance and insufficient vitality.
And this is exactly where you can create impact — by becoming a Club Coach. You’ll not only help others succeed, but also accelerate your own growth.
The greatest sense of achievement as a Club Coach comes from sharing your Toastmasters experience: witnessing a struggling club come back to life, seeing members gradually build confidence, and clearly recognizing your crucial role in others’ success.
At the same time, this is also a critical pathway toward earning your DTM (Distinguished Toastmaster). With a formal appointment of at least six months, and by helping a club achieve “Distinguished Club” or higher by June 30, you can unlock the coaching credit required for your DTM.

What is the Club Coach Program?
The Club Coach Program is designed for experienced Toastmasters members. Its core purpose is to assist clubs with 3–12 paid members (that are neither suspended nor closed) in rebuilding membership and restoring operational quality.
Successful Club Coaches will:
• Build rapport with club officers and members
• Instill enthusiasm, camaraderie, and structure within the club
• Assess the club environment and recommend best practices for success
• Work with club officers to develop a Club Success Plan
• Motivate the club to strive for Distinguished Club Program (DCP) recognition

Who Can Become a Club Coach?
Potential Club Coaches must meet all of the following Eligibility:
Be a paid member in good standing
Have not been a member of the club to be coached in the past 6 months
Have been a Toastmasters member for at least one year
Have served as a club officer for at least 1 year term
Have completed at least Level 2 in one path

How to Start Your Coaching Journey?
Step 1. Self-check: Confirm you meet the above Eligibility.
Step 2. Apply: Contact the Club Coach Committee to express your interest, scan the QR code, or visit the link to register for the Club Coach Program.

Step 3. Club Matching: Connect with an eligible club (3–12 members, neither suspended nor closed).

Step 5. Agreement: Review and sign the Club Coach Agreement (Form 930AA).

Step 6. Official Appointment: Submit to Toastmasters World Headquarters (WHQ) for formal appointment.
Club Growth Director will send an email to WHQ, with support from the Club Coach Committee.

Recognition for Both Coaches and Clubs
1. Recognition for Club Coaches
After being formally appointed, you may apply to Toastmasters World Headquarters for a Club Coach pin to wear at meetings. (Note: pin application is the coach’s responsibility.)
After serving a minimum of 6 months and helping the club achieve “Distinguished” or higher by June 30, you will earn a coaching credit plus an electronic certificate.
If the coached club reaches 20 or more members, you’ll also receive an additional District Leader education credit.
District Bonus 1: During your term, join the District 118 Coach Support Hub for mentoring and empowerment resources.
District Bonus 2: If your coached club achieves “Distinguished” or higher by April 30, 2026, you will be honored in the District Conference Hall of Fame.
2. Recognition for Revitalized Clubs
Clubs meeting the following criteria will be recognized as “2025–2026 District 118 Revitalized Clubs” and featured in the District Conference Hall of Fame:
Register for the “Revitalized Club” program by December 31, 2025, with 12 or fewer members at the time of registration.
Achieve “Distinguished” or higher by April 30, 2026 (with net membership growth of at least 3 members and DCP points ≥5).

How to Earn the Club Coach Credit ?
To officially earn a Club Coach credit, you must:
Serve as a formally appointed coach for at least 6 months and not join the club you coach during your term
Submit reports on time: preliminary report within 30 days of appointment, progress reports every 60 days, and final report after completion
Help the club achieve “Distinguished” or higher by June 30
If the coached club reaches 20 or more members, you’ll also earn an additional
Credit Application: The coached club’s President (or authorized officer) must send an email to WHQ to confirm success; applications are typically processed in August (after annual results are confirmed).
