Mr. Green: Lisa, I've just got your e-mail but I'm afraid it's not very clear. May we take a few minutes to talk about it?

Lisa: Yes, of course. What are the problems?

Mr. Green: First, you need to get to the point quickly. The small talk at the beginning is not necessary.

Lisa: Isn't it rude to jump straight in?

Mr. Green: No. Usually, business people are very busy. They don't want to waste time reading unnecessary words. So, be brief.

Lisa: OK.

Mr. Green: Also, your e-mail seems a bit confusing. You mention three different things in one long passage. It's hard for me to understand at the first reading.

Lisa: Oh, sorry. What should I have done?

Mr. Green: It's better to put them in three separate paragraphs or write three e-mails under different subject headings.

Lisa: I see. That makes it easier to get the main points, does it?

Mr. Green: Yes. The last problem is the spelling. Every time you write an e-mail, do reread it to check for grammar and spelling mistakes before you press  "send". Otherwise, it makes you, and the company, seem rather unprofessional.

Lisa: I'm very sorry for all the mistakes but thank you for telling me about them. I'll write it again and send you the new one!

格林先生:丽萨,我刚收到你的邮件,但是恐怕邮件写得不够清楚。我们可以花几分钟谈一谈吗?

丽萨:好的,当然可以。有什么问题呢?

格林先生:首先,你需要迅速进入正题。开始的闲聊是没必要的。

丽萨:直接进入正题是不是不太礼貌?

格林先生:不会的。商务人士通常都很忙。他们不想浪费时间读些不必要的信息。所以,保持简洁。

丽萨:好的。

格林先生:另外,你的邮件写得好像有点混乱。你在一个长段中提到了三件不同的事情,这让我第一遍读的时候很难理解。

丽萨:哦,对不起。我应该怎么做?

格林先生:你最好把三件事分别放在三个不同的段落中,或者是写三封不同标题的邮件。

丽萨:我明白了。这样做便于把握要点,对吗?

格林先生:对。最后一个问题就是拼写。每写完一封邮件,都要在点击“发送”键之前再读一遍,检查其中的语法和拼写错误。否则,邮件中的错误会让你和公司都显得很不专业。
